This position requires an individual who is proactive, professional, highly organized, and pays extreme attention to details.

Responsibilities:
Administrative Duties:
- Dropbox Maintenance - organize internal filing more effectively - Real Estate Assistance Costar assistance Marketing Tours - create packet materials, setup times, and make sure all parties have what they need for tours Assist with LOI preparation and lease analysis - IT - Set up new users and help with maintenance and troubleshooting, help maintain website - Contacts - update/add contacts for principals - Calendar/Meeting Management Calendar management for 1-2 individuals according to their preferences Proactively identifies and resolves calendar conflicts and sends reminders prior to meeting start times Communicates effectively, keeps executives' calendars well organized, and properly screens meetings Schedules external and internal meetings, calls and video conferencing Coordinates meeting materials, printing and distribution Handles all aspects of meeting logistics - Travel Coordination (requires flexible hours) Coordinates domestic and international travel arrangements through our online booking tools and travel agency according to instructions from executives Arranges cost effective ground transportation, books hotels, and manages all logistics Completes check-in for flights and manages communication with passengers regarding delays, cancelations, etc.
Manages Travel Rewards & Points - flights, hotels, etc.
Reports expense allocations to the Controller per trip for correct financials Property Management Duties:
- Rent Collection and Lease Preparation - Tenant Billing - Lease Compliance - CAM Billing Review - Maintenance Support - Monthly Owner Reports - Point of Contact for Tenants and PM Companies
Qualifications:
2 - 5
years of previous administrative experience supporting multiple individuals, preferably within the Commercial Real Estate industry Commercial and/or Residential Real Estate experience is preferred Contract to close experience is preferred Intermediate-to-advanced working knowledge of MS Word, Excel and Outlook required Strong written and verbal communication skills, including exceptional email management and the ability to prepare professional correspondence Exceptional organizational and project management skills Adaptable to shifting priorities:
